In Typefi Writer 8.7.4, 64-bit edition, you can replace Local formatting in Microsoft Word with Character Styles in Adobe InDesign. This feature gives you full control of your character styling throughout a workflow—avoiding any unpleasant formatting surprises in your outputs!
As part of this new feature, you can use the Typefi Document Explorer to find and Identify local formatting in use, via the Local Formatting category.
Prerequisites
- You are using Typefi Writer 8.7.4 or later.
- Typefi Writer is connected to a Typefi Server, and a workflow is attached.
There are two ways to replace your local formatting in Word:
- A bulk replacement
- A specific character replacement
Character Styles are pulled directly from the InDesign template attached to your workflow.
Bulk replace your local formatting
A bulk replace allows you to replace all instances of a local formatting nuance in Word, such as bold, with one Character Style, such as strong.
To select all instances of a local formatting nuance and apply an InDesign Character Style to them:
- First, click the Replace button found either on the Typefi ribbon or within the Typefi Document Explorer.
- In the Find what section of the Replace dialogue, click to select the specific local formatting nuance you want to replace.
- Then, in the Replace with section, click the drop-down arrow and choose the Character Style you’d like to replace it with.
- Finally, click Replace All to replace all instances of your local formatting throughout your document with the chosen Character Style.
- Typefi Writer will confirm the replacement you want to make and, once complete, will inform you as to how many replacements were made.
Replace specific local formatting
Choose specific replacements if a local formatting instance, such as bold, is to appear differently in your InDesign document, depending on the paragraph style. For example, bold in a heading versus bold in a table.
To select a specific instance of local formatting and apply an InDesign Character Style to it:
-
Click the Replace button found either on the Typefi ribbon or within the Typefi Document Explorer.
-
In the Find what section of the Replace dialogue, click + to expand the Local Formatting branch and see a list of paragraph styles that have local formatting applied within it.
-
Click the paragraph style that contains the local formatting you want to replace. All local formatting used within that paragraph style will be listed on the right.
-
From this list, select the local formatting you wish to replace.
-
Then, in the Replace with section, click the drop-down arrow and choose the Character Style you’d like to replace it with.
-
Finally, click Replace All to replace those specific local formatting instances with the chosen Character Style.
-
Typefi Writer will confirm the replacement you’re wanting to make and, once complete, will inform you as to how many replacements were made.
Remove a local formatting instance
You can also choose to remove local formatting instances altogether. You do this by following the same process as replacements, however, instead of selecting a Character Style, choose Nothing (remove all instances) from the drop-down options. This will replace the local formatting with no character styling in your final output.
-
Click the Replace button found either on the Typefi ribbon or within the Typefi Document Explorer.
-
In the Find what section of the Replace dialogue, expand the Local Formatting branch to see a list of paragraph styles that have local formatting applied within it.
-
Click the paragraph style that contains the local formatting you want to remove. All local formatting used within that paragraph style will be listed in the box on the right.
-
From this list, select the local formatting you wish to remove.
-
In the Replace with section, select Nothing (remove all instances) from the drop-down box.
-
Click Replace All to replace those specific local formatting instances with no character styling.
-
Once complete, Typefi Writer will confirm the replacement and will inform you as to how many replacements were made.
Choose to be warned of any local formatting in use
An optional preflight warning has been created to ensure you don’t miss any local formatting replacements.
See Workflow preflight option: Check for local formatting overrides for details.
