If you want to make changes to a Typefi Writer document—and keep others from making changes at the same time—you can check out a file from a Typefi Server (Workgroup and Cloud only), without leaving Microsoft Word.
When you check out a file, only you can edit it. You can save your changes as often as you like before checking in the file. Once you're done making changes to the file, check it in to upload your changes to the Typefi Server. If you change your mind, you can discard your changes and undo the check out.
Checking out a file
Checking out a file locks it for all other users until you check it back in. Other users can still view or download the original version of the file while you have it checked out, but they cannot make any changes.
To check out a file:
- Open a Microsoft Word document and click the Typefi tab.
- If you're not already, connect to a Typefi Server.
- In the Documents group, click Check Out.
- Select the document you want to check out.
- Click OK.
TIP You can also double-click a file to check it out.
By default, when you save changes to a file that you have checked out, only the copy on your computer is saved—that is, any changes you make to a file are not uploaded to the Typefi Server. However, you can configure Typefi Writer to sync the changes back to the Typefi Server each time you save the file. For step-by-step instructions, see Customise how documents are saved.
TIP If you want to open a file without checking it out, right-click the file and choose Open As Read Only from the pop-up menu.
Checking in a file
The file you checked out, and any changes you make to it, are not available to your colleagues until you check in the file.
NOTE If you want to check in a file that has not yet been uploaded to the Typefi Server, see Creating a new Typefi document.
To check in a file:
- Make some changes to a checked out file and save them.
- In the Documents group, click Check In.
- In the confirmation dialogue, click OK.
- Add a comment about what you changed. The default comment is the timestamp of when the file is uploaded to the Typefi Server.
Alternatively:
- Make some changes to a checked out file and save them.
- Close the document.
- In the confirmation dialogue, click Yes.
Undoing a check out
If you check out a file and don’t make changes to it, or you make changes that you don’t want to keep, you can undo the check out, rather than saving the file. A new version of the file is created each time you check in the file. By undoing the check out, you can avoid making new versions when you haven’t made any changes to the file.
NOTE Only administrators can undo a check out for files that are checked out by other users.
To undo a check out:
- In the Documents group, click Check Out.
- Right-click the file and choose Undo check out from the pop-up menu.
Alternatively:
- Make some changes to a checked out file and save them.
- Close the document.
- In the confirmation dialogue, click No.
